DRAFT Alma Tips: Create a Brief Record

This process allows you to create records for campus created items (i.e. non-LTS catalogued items). These items can include course reserves, equipment, or leased books. For specific instructions regarding course reserve or leased books, please see the following:

Required Role: Physical Inventory Operator

Create a Brief Record (Quick Cataloging)

1. Navigate to Add Physical Item. (Resources > Create Inventory > Add Physical Item). 


2. Choose Holdings Type: New. Choose Book as the holdings type, except for individual articles. You will be able to choose the material type within the record. 


3. Fill out the following required information for the new item:

  • Title
  • Author
  • Edition (if appropriate)
  • ISBN - DO NOT SCAN IN; instead type in or copy & paste. 
  • Publisher
  • Publication date
  • Call number
  • If equipment: check the "Suppress from Discovery" box. Otherwise, make sure that this box is unchecked so that it will be discoverable in Primo.

Do not scan or type the barcode in the top section. 

4. Fill out the following Item Information:

  • Location
  • Material Type
  • Item policy
  • Public note, if appropriate

5. Lastly, scan the barcode in the Item Information Barcode field.
