Getting Started

Welcome to NOVA Libraries! This guide will provide the basics for most functions you will need to carry out as a circulation staff member. 

Circulation specialists at your campus library will be able to answer most questions, but if you have concerns, suggestions, additions for this guide, please reach out to McKenna Brady, Circulation Specialist at the Loudoun Campus Library (mebrady@nvcc.edu). 

Adding Quick Links

For functions you use daily, the quick links menu provides simple and persistent access. Once you add functions, the quick links menu will appear below the search bar on your interface:


Recommended for circulation desk staff:

  • Scan In Items
  • Manage Patron Services
  • Return Items 

Recommended for specialists:

  • Manage Sets
  • Reading Lists (for course reserve specialists)

To add functions to the quick links menu, choose a module from the left side of the screen and star each desired item. 

To adjust the order of your Quick Links, click Alma Production on the left side of your screen, then edit the Quick links menu. 

Adding Widgets

Widgets can provide easy access to tasks and process monitoring. 

Recommended for circulation staff: 

  • Tasks
  • Discovery Search, which will enable you to start a Primo search from Alma
  • ICL returns/new items in transit for reshelving, which should be monitored for any items in transit for 7+ days 
    • If there are items in transit for over a week, check the shelves at your campus and if not found, send a shelf check email to circulation staff at the other relevant campus.

To add widgets, click the green + icon in the upper right corner of your Alma home screen:

NOVA Libraries Glossary

  • Alma: the library's resource management hub and where cataloguing, circulation functions (loans, returns, fines/fees), and patron account management takes place by library staff.
  • Primo: the library catalog, accessed by patrons
  • ICL: intercampus loan
  • ILL: interlibrary loan
  • LTS: Library Technical Services, which is the amazing time that handles cataloguing, e-resource management, and other functions.
