Waiving a Replacement Fee

These instructions are for how to partially or fully waive replacement fees. 

Required Role: Circulation Desk Operator or Manager OR Circulation Desk Operator – Limited (student workers)


Select Fulfillment from the side navigation and choose Manage Patron Services from the menu.


2. Search for the patron by entering their MyNOVA username or EMPLID (student ID number). Select the patron from the drop-down menu and click Go.


3. If the patron’s fine is more than $10, you will see a blocked notice pop-up. Click OK.


4. Patron information shows. Click the Red USD Amount next to the Active Balance field.


5. To waive the fine, check the box next to the item and click Waive Selected. You can also select Waive from the ellipse button next to each individual fine/fee. You can also choose to Waive All fines/fees from the menu bar.


6. In the Waiving Fine/Fee window, you are indicated as the Operator and there are a number of options.

  • Fee amount – The default is the total amount for the item you selected. The amount can be changed to partially waive the fine/fee.
  • Waiving reason - Select the reason from the drop-down menu. Options include Grace Period, Other, Staff Error, or Technical Issue.
  • Comment - This field is for internal use only. No email is sent to the patron for a waived fine. 

7. Click Waive at the top of the screen.


8. Click Confirm from the Waive Confirmation pop-up box. 


9. When you review the patron's Fines/Fees record, note the Original Amount and Remaining Balance if applicable.
