Creating a Note in a Patron Record

These instructions are for creating a note in a patron's record. The note can be made visible to only staff or made viewable to the patron.

Required Role: Circulation Desk Operator or Manager OR Circulation Desk Operator – Limited (student workers)


1. Select Fulfillment from the side navigation and choose Manage Patron Services from the menu.


2. Search for the patron by entering their MyNOVA username or EMPLID (student ID number). Select the patron from the drop-down menu and click Go.


3. Patron information shows. In the User Notes box on the right, click Add Note.


4. In User Details screen, click Add Note. Add information in the Note field and choose Note Type. Never click the box, Add as external; the note would be wiped out by the next SIS load. If you want the note to appear in the patron's account in Primo, click the User viewable box. To complete the note, click Add and Close.


5. The note is now visible in both User Details and the Patron Details screens.

Deleting a User Note

These instructions are for deleting a note in a patron's record.

Required Role: Circulation Desk Operator or Manager OR Circulation Desk Operator – Limited (student workers)


1. Select Fulfillment from the side navigation and choose Manage Patron Services from the menu.


2. Search for the patron by entering their MyNOVA username or EMPLID (student ID number). Select the patron from the drop-down menu and click Go.


3. Patron information shows. In the User Notes box on the right, click Edit Notes.


4. On the User Details screen, click the ellipse on the right side of the note you wish to delete, open the drop-down and click Delete.

The Note is deleted without any confirmation request.
